HotelBase is in private beta. This page summarizes how we handle data today. We'll publish a full data processing agreement before general availability.

When you apply for the private beta, we collect the information you submit in our forms — your name, email, business details, current tools, and any notes you share. If you become a beta partner, we additionally process the property knowledge and guest interactions required to run the AI Concierge on your behalf.
We use submitted information to evaluate beta fit, contact you about onboarding, and operate the modules you have enabled. Property knowledge is used to power the assistant on your property. Guest conversations are processed to generate replies, route messages, and produce operational reports for you.
You own your property knowledge and guest data. We process it on your behalf as a service provider. If you leave HotelBase, we export what's yours and remove what's no longer needed.
HotelBase uses standard cloud infrastructure and AI providers to deliver the product. During the private beta, we'll maintain a current subprocessor list and provide it on request.
Access to operator data is restricted to a small team and authenticated systems. We don't share or sell operator data. We don't use your guest conversations to train shared, cross-customer models.
